Privacy Policy

This Policy explains what information Closiq processes, why we use it, who we share it with and the choices available to you.

Effective date: July 22, 2026

1. Who is responsible

Closiq is the controller of personal information used to provide and administer the Closiq service. A customer company may be the controller of prospect, partner and employee information it places in its workspace, while Closiq acts as its service provider or processor.

2. Information we collect

  • Account and company data: name, work email, password authentication records, company and team names, role, preferred language, time zone and optional phone number.
  • Workspace data: locations, contacts, notes, sales stages, tasks, files, visit history, photos, reports and data entered by you or your team.
  • Location data: current location only when you grant browser permission for routing or visit features.
  • Usage and technical data: device, browser, IP address, timestamps, security events and product interactions.
  • Billing data: plan, seat count, subscription, customer and transaction identifiers. Paddle processes payment-card and payment-method details; Closiq does not store full card numbers.
  • Connected email data: authorization tokens, sender identity and messages necessary to send, receive or synchronize business email when you connect Google Workspace or another supported provider.

3. How we use information

We use information to create and secure accounts; provide maps, CRM, routing, reporting, collaboration, company messaging, video-meeting links and email features; generate data-driven workspace recommendations; process and reconcile subscriptions; deliver reminders and support; detect abuse; diagnose performance; improve product quality; comply with law; and communicate operational or service updates.

4. Legal bases

Depending on your location, we rely on performance of a contract, legitimate interests in operating and securing a business service, consent for optional permissions or integrations, and compliance with legal obligations. You may withdraw consent for optional processing through your browser, connected provider or account settings.

5. How information is shared

We share information with authorized members of your company workspace and vendors that help operate the service, including hosting and cloud infrastructure, Supabase for database and authentication services, Paddle for billing and Merchant of Record services, Google Workspace when you connect Google, and mapping or analytics providers used by requested features.

When you request public place enrichment, the entered place name and address are sent to OpenStreetMap's Nominatim service. When you create or open a video meeting, Jitsi Meet receives the information your browser normally sends to a video-conferencing provider. Closiq does not send your complete CRM registry to either service for these actions.

We may also disclose information when required by law, to protect rights and safety, or as part of a merger, financing or sale subject to appropriate safeguards. We do not sell personal information.

6. Customer responsibilities

Customers decide what partner and prospect information to add. They are responsible for providing notices, obtaining permissions and honoring opt-outs required for their sales activity. Do not upload sensitive personal information that is unnecessary for legitimate relationship management.

7. Retention

We retain account and workspace data while the account is active and for a limited period afterward to provide recovery, resolve disputes and meet legal obligations. Support requests marked resolved are hidden from customers after fourteen days, although limited records may remain in secure archives where required. Billing records may be retained for tax and accounting obligations.

8. Security

We use reasonable administrative, technical and organizational safeguards, including role-based access, encrypted connections and restricted service credentials. No system can guarantee absolute security. Please use a unique password, maintain control of invitation links and notify us promptly about suspected misuse.

9. International transfers

Closiq and its vendors may process data in countries different from yours. Where required, we use contractual and organizational safeguards designed to protect information during international transfers.

10. Your choices and rights

Depending on applicable law, you may request access, correction, deletion, portability or restriction; object to certain processing; withdraw consent; or complain to a privacy authority. Company-managed workspace data may need to be requested from your company administrator first. Send privacy requests to support@closiq.team. We may verify your identity before fulfilling a request.

11. Cookies and local storage

Closiq uses essential cookies and browser storage for authentication, security, language preferences and product state. We do not use optional advertising cookies without any consent required by law.

12. Children

Closiq is a business service and is not directed to children under 16. We do not knowingly collect personal information from children.

13. Updates and contact

We may update this Policy as the service changes. The effective date above shows the latest revision. Questions and privacy requests can be sent to support@closiq.team.
